Job Description:

North Star is seeking a diligent and detail-oriented Administrative Assistant to join our dynamic team in Lusaka. The Administrative Assistant will provide essential support to ensure efficient operation of the office. This role involves handling administrative tasks, coordinating activities, and facilitating communication within the office.

Key Responsibilities:

  • Manage and organize office operations and procedures.
  • Schedule meetings, appointments, and manage calendars.
  • Prepare and edit correspondence, reports, and presentations.
  • Handle incoming and outgoing communications, including emails and phone calls.
  • Maintain office supplies inventory and place orders as needed.
  • Assist in the preparation of regularly scheduled reports.
  • Maintain a filing system for important and confidential company documents.
  • Coordinate travel arrangements and itineraries for staff.
  • Support the team with various administrative tasks as required.

Requirements:

  • Proven administrative or assistant experience.
  • Knowledge of office management systems and procedures.
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
  • Excellent time management skills and the ability to prioritize work.
  • Attention to detail and problem-solving skills.
  • Strong organizational and planning skills.
  • Excellent written and verbal communication skills.

Education:

  • Diploma; additional qualification as an Administrative assistant or Secretary will be a plus.

Skills:

  • Effective communication skills.
  • Strong organizational skills.
  • Proficient in Microsoft Office Suite.
  • Ability to handle multiple tasks simultaneously.
  • Excellent interpersonal skills.

Experience:

  • At least 2 years of experience in a similar role.
