Reporting to the Project Manager – FS, you will be responsible for monitoring project progress and supporting the FS Project team with administrative and secretarial duties, including document control support.

Your duties will include but are not limited to the following:

  • Taking of project meeting minutes (technical and executive), and the distribution thereof.
  • Compiling and formatting pre-feasibility documentation, including project reports and presentations.
  • Coordinating project team communications.
  • Coordinating diaries, meetings, and workshops.
  • Logistical and travel arrangement coordination, including flights, accommodation, visas, workshop venue’s, transfers etc.
  • Travel desk coordination for the team and any visitors.
  • Maintaining project contracts and other documentation for sub-consultants, contractors and vendors.
  • Coordinating data management and information transfer, including setting up and maintaining filing systems, document logs and action item lists.
  • Maintain folders on SharePoint.
  • Control and management of project/engineering documentation to meet project and procedural requirements.
  • Control all project procedures and specifications to final sign-off status.
  • Responsible for distribution of documents, reports, drawings as and when required.
  • Interfacing with finance teams to ensure compliance with client invoicing requirements, preparation of invoices and assisting with setting up purchase orders and facilitation of timely payment.
  • Assisting with the expediting of critical path items and liaising with the relevant site procurement and accounts payable to ensure expedient tracking and delivery of items to site.
  • Formatting of documents and presentations to create a consistent and professional Project image.

To be considered for the position, you must meet the following requirements:

  • Grade 12 certificate
  • A Secretarial Certificate / Diploma
  • Minimum 3 years’ experience in a project environment as a Secretary / Administrator.
  • Basic knowledge of project management principles.
  • Experience or exposure to project document controlling will be an advantage.
  • Fully conversant with MS Office Suite and SharePoint
  • Be physically fit and be able to pass a pre-employment medical examination.
  • Must have excellent written and oral communication skills in English and show a commitment to understand local culture and impart your mining operations and technical knowledge to subordinates.

Organization

The Lumwana copper mine is a conventional open pit (truck and shovel) operation. It’s located about 100 kilometers west of Solwezi in Zambia’s Copperbelt — one of the most prospective copper regions in the world. Lumwana ore, which is predominantly sulfide, is treated through a conventional sulfide flotation plant, producing copper concentrate.
